How to plan luggage forwarding
1. Ask both hotels before assuming
Confirm that the sending hotel can help with the form and that the receiving property accepts delivered bags for registered guests. Vacation rentals and unattended apartments may not.
2. Build in time
Allow at least one delivery day on common city-to-city moves and more for remote areas, islands, severe weather, or peak periods. Ask for the realistic delivery date at the counter.
3. Write the reservation name consistently
The receiving hotel should be able to match the bag to the reservation. Use the same Roman-letter booking name and include the check-in date and reachable phone number when requested.
4. Separate the overnight kit first
Before handing over the suitcase, pack a small bag with passports, medications, electronics, valuables, weather gear, and enough clothing for a delay.
5. Treat oversized shinkansen baggage separately
On covered Tokaido, Sanyo, Kyushu, and Nishi Kyushu shinkansen routes, baggage over the stated total-dimension threshold requires a seat with an oversized baggage area. Check current JR Central rules before travel.
Mistakes to avoid
- Sending passports, medication, cash, fragile valuables, or the only warm jacket.
- Assuming every Airbnb or small inn accepts deliveries.
- Sending bags the morning of a fixed-time flight without a backup.
